Job Summary

The Resource and Operations Analyst Lead manages planning, logistics, budgets, and HR functions for all Undergraduate Education (UE) units that support the development and delivery of the academic curriculum and programs. Major responsibilities include advising the Dean on budgetary and strategic planning, while working independently to assist in the development and administration of complex fiscal services and policy compliance in financial and personnel matters for UE. The Analyst assists with all phases of planning and implementation of all projects initiated or administered from the UE office, including resource management, assessment and evaluation, and reporting. The incumbent in this position works closely with the Dean and Associate Dean of Undergraduate Education, the Provost and College offices (with Deans, Associate Deans, Chairs and staff) to ensure all necessary data and reporting is complete. 

 

Key Responsibilities

  • Develops project plans based on the established timeline and budget, while overseeing and analyzing the internal project tracking systems.
  • Effectively communicates difficult/sensitive information tactfully
  • Evaluates and analyzes academic approval requests and sets up class sections for enrollment for Study Abroad and Away programs
  • Creates and prepares yearly forecasts for future budgets for UE programs, working independently and with other UE staff as needed
  • Responsible for unit’s budget proposals, MOUs, and grants
  • Oversees all UE accounts, including General Fund, PACE, Research Foundation, and Tower Foundation, to ensure budgetary compliance with state, CSU and SJSU policies
  • Oversees all recruitment activities for staff, faculty and student assistants, ensuring the unit is in compliance with HR and/or Faculty Affairs policies and procedures
  • Arranges and schedules meetings, including coordinating logistics with executive staff across the university
  • Assists with processes and procedures pertaining to staff performance evaluations and other personnel issues
  • Oversees day-to-day operations and provides lead work direction to UE administrative staff and student assistants
  • Provides basic troubleshooting of IT for office and online meetings through telepresence

 

Knowledge, Skills & Abilities

  • Ability to communicate with constituents in a professional and respectful manner
  • Ability to effectively present ideas and concepts in written or presentation format
  • Working knowledge of software applications: word processing, spreadsheet, database management
  •  Ability to investigate and analyze problems having broad administrative impact
  • Excellent customer service, networking, and public relations skills
  • Knowledge of budget policies and procedures

 

Required Qualifications

  • A bachelor's degree and/or equivalent training
  • Four years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs

 

Preferred Qualifications

  • Bachelor's degree in a related field
  • Experience managing academic program operations, curriculum processes, or academic scheduling functions
  • Experience with university budget forecasting, financial reporting, and fund reconciliation
  • Demonstrated success leading process improvement initiatives that increased efficiency and compliance
  • Experience interpreting and applying collective bargaining agreements and managing personnel transactions in a unionized environment

 

Compensation

Classification: Administrative Analyst/Specialist – Exempt II
Anticipated Hiring Range: $6,151/month - $7,499/month (Step 4 – Step 14)
CSU Salary Range: $5,797/month - $8,445/month (Step 1 – Step 20)
